Cross-Event Reporting: Benchmark Every Event Against Your Portfolio

Most event reporting tools are great at telling you about one event. You finish a virtual conference, pull the numbers, nod at the registration count, and move on. Then three months later you run another event, stare at a fresh dashboard, and have no easy way to answer the question that actually matters: "Was that good?"

Good compared to what? Your last event? Your best one? What your other clients are pulling off?

Scroll to the events table, and each event carries a small badge: ▲ above average or ▼ below average. At a glance, you know which events punched above their weight and which quietly underperformed. No exporting, no pivot tables, no "let me get back to you on that."

Built for two very different jobs

The report knows who's looking at it and reshapes itself accordingly.

If you're a Client Admin, you see your organisation's events — and only yours. The boundary isn't a polite UI suggestion; it's enforced server-side using your identity, so there's no way to peek at another client's data even if you tried. You get your portfolio, your benchmark, your trends.

If you're a Super Admin, the view opens all the way up. Every event, across every client, in one place — plus a layer the client view doesn't have: a client-wise breakdown rolling up registrations, engagement, interactions and sponsorship value per client, ranked so the leaders (and the laggards) are obvious. Spot a client crushing it? Click their row and drill straight into their events. Want to focus on one account? The client filter re-scopes the whole report instantly.

It's the difference between managing an event and managing a platform.

The virtual event engagement metrics that move decisions

Numbers are only useful if they map to a decision. Here's what the report surfaces and why each one earns its place:

  • Registrations & fill rate — Did you hit the audience you planned for? Fill rate compares actual registrations to the expected headcount, so a "big" event that badly missed its target gets caught.
  • Engaged attendees & engagement rate — Registration is vanity; engagement is reality. This counts the people who actually did something, not just those who signed up.
  • Total interactions — The raw volume of activity, a quick proxy for how alive the event felt.
  • Sponsors & sponsorship value — Because events have to pay for themselves. Sponsorship value is calculated from each exhibitor's tier (or a custom override), so you see real commercial weight per event.

And the benchmark badge ties it together: this event, against your norm.

Charts that tell the story in two seconds

People don't read tables; they scan them. So the report leads with a chart that adapts to context. Looking across all clients? You get registrations by client, top performers first. Zoomed into a single client, or viewing as a Client Admin? It flips to top events by registrations. Either way, the shape of your portfolio is visible before you've read a single number.

Need to take it somewhere else — a board deck, a QBR, a spreadsheet for finance? One click exports the event data to CSV.

Honest about what it is (and isn't)

A good report earns trust by being clear about its own edges, so here's the straight talk.

This benchmark compares each event to your own portfolio's average. It does not yet compare you to an anonymised, platform-wide median of similar-sized events — that "how do I stack up against everyone else?" capability is deliberately held back, because doing cross-client benchmarking responsibly means getting anonymity and fairness right first. It's on the roadmap, not bolted on hastily.

It's also a read-only view of data you already capture. No new tracking, no new tags to deploy, no performance tax on your events. Turn engagement tracking off for an event, and it still shows up — registrations and sponsorship intact, engagement simply marked "Off." Nothing to configure, nothing to break.

Why this matters more than it looks

On the surface, this is "a reporting screen." Underneath, it changes the conversation.

For an organiser, it turns vague gut-feel ("I think that one went well") into evidence you can act on — and a clean artefact you can forward upward.

For a reseller or platform operator, it's the missing executive lens. You stop thinking event-by-event and start managing a portfolio: spotting your strongest clients, catching the ones who need help, and seeing trends before they become problems.
